Situation
Last year in my role as Corporate Reporting Manager with the Department of Transport I led a cross departmental team of twelve to deliver an upgrade to our reporting process which reduced the time taken to produce our month end suite of reports by six days and achieved an annual saving of £500k.
Task
Upon joining, I recognised that the information presented to the Board could be brought up to real-time and so I initiated a project. I built a diverse team with colleagues from Finance, HM Treasury and IT as well as from my own.
Action
- Having documented the objectives, terms of reference and resource requirements, I identified the right people to have on board from both my own team and other departments.
- I scheduled an initial meeting with the group and once again shared the objectives of the project and how vital delivery was.
- I created a draft project timeframe working towards the date by when it needed to be completed.
- I identified roles and for each member having taken into consideration their strengths.
- It was a difficult team to manage as there were many strong and conflicting views. I made sure each was given an opportunity to express and share however I was always very clear that the aim was one of a common goal.
- That made a big difference, I encouraged the team to pull together and spend the extra time needed to get the upgrade completed on time.
Result
Despite obstacles, I led the team successfully and delivered the upgraded reporting process resulting in an annual cost saving of £500k. It was a genuine team effort and I learnt how to lead, motivate and inspire a difficult group of strong-willed people to create a great piece of work and overcome the challenges that came up.
